The MACHS portal is the state's central tool for criminal background checks. It covers Cole County along with every other jurisdiction in Missouri. Under RSMo Chapter 43, all law enforcement agencies and courts in Cole County report arrest and case data to the Highway Patrol's central repository. When you search MACHS, you are pulling from that same database.
A name search costs $15 plus a convenience fee. You enter a name, date of birth, and Social Security number. Results come back in 5 to 7 business days. The search shows open records only. Under Section 43.507, open records include convictions, pending charges, arrests within the past 30 days, and suspended imposition of sentence during probation. Closed records like dismissed cases or not guilty findings do not appear on a name search.
A fingerprint check is more thorough. It costs $20 for the state search and $11.50 for the IDEMIA service fee. Add $13.25 if you want the FBI federal check too. Fingerprint searches pull both open and closed records, giving you a more complete picture. Processing takes 7 to 10 business days. Cole County residents have a unique advantage. The CJIS Division is right in Jefferson City. You can walk into the public access window at 1510 East Elm Street and get a name check done in about 30 minutes. No need to mail anything or wait for weeks. Bring your ID and payment. For a notarized copy, add $2. This is by far the fastest option for a Cole County background check.
Cole County Sheriff Records
The Cole County Sheriff's Office keeps local arrest records, booking logs, and jail data. The sheriff handles law enforcement for the unincorporated areas of Cole County and runs the county jail. You can contact the sheriff to request copies of arrest records or check on current inmates.
Under the Sunshine Law in Chapter 610, the sheriff must respond to records requests within three business days. Most arrest records are public. Booking photos, charges, arrest dates, and release information are typically available. The sheriff can charge for copy costs and staff time to pull the records you need.
The Cole County Recorder of Deeds is another resource for public records. While the recorder mainly handles property records, liens, and deed filings, these records can be part of a broader background check when you need to verify property ownership or see if there are judgments tied to real estate in Cole County.

Cole County Check by Mail
Mail requests go to the CJIS Division at PO Box 9500, Jefferson City, MO 65102. Send a completed Criminal Record Check Form with a $14 check or money order to "State of Missouri, Criminal Record System Fund." Mail requests cover all of Missouri, not just Cole County. Processing takes 4 to 6 weeks. Under Section 43.530, the fees fund the state's criminal records system.
For Cole County residents, the walk-in option at 1510 East Elm Street is much faster than mail. But if you want a paper trail or need to send the request on behalf of someone else, mail works fine. Cole County Public Records Law
Section 610.023 of Missouri's Sunshine Law requires every government body in Cole County to have a records custodian. You submit a written request. The office has three business days to act. They either hand over the records, give you a timeline, or deny your request with a legal basis. Section 610.026 lets agencies charge for copies and staff time. Fee waivers apply when the request serves a public interest.
If Cole County denies your request, you have options. File a complaint with the Attorney General's office. The AG runs a mediation program that resolves many disputes without court action. If that fails, Section 610.027 allows you to go to court. Judges can order release of records and fine agencies up to $5,000 for knowing violations. The agency may also have to cover your legal costs.
Section 43.532 makes unauthorized sharing of criminal records a crime. This applies to every office in Cole County that handles criminal history data. The Rap Back program under Section 43.540 provides ongoing monitoring for people who work with vulnerable populations. If a Cole County resident has a Rap Back file and gets a new charge, the subscribing agency is notified automatically.
